The Aplastic Anaemia Trust's (AAT's) privacy policy statement

This privacy policy statement sets out how the AAT uses and protects any information that you give the AAT generally, and when you use this website. 

The AAT is committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this data protection policy statement.

What information we generally collect 

This will depend on the nature of your interaction with the AAT, and may be collected from our website, social media sites, telephone or e-mail. This may include your:

  • contact details – postal address, telephone number, e-mail address 
  • date of birth – e.g. for safety reasons to take part in one of our challenge events 
  • social media details 
  • other information relevant to your specific contact and interaction with us. 

 

What we do with the information we gather 

We require this information to understand your needs and provide you with a better support and information service, and in particular for the following reasons: 

  • analyse your personal information to create a profile of your interests and preferences so that we can contact you with information relevant to you and provide a positive experience for our supporters

  • we may use the information to improve our support and information offer 
  • communicate with you about the work of the charity, its fundraising and other areas that we think may be of interest to you (if you have told us you wish to hear from us). 
  • from time to time, we may also use your information to contact you for market research purposes. We may contact you by email, phone or mail. We may use the information to customise the website according to your interests. 

 

Who do we share information with? 

The AAT will not disclose any of your personally identifiable information, except when we have your permission, for example, when we are using a third party to administer your regular gift, make submissions to HMRC to claim gift aid on eligible donations, when we are working with event organisers on our behalf or under special circumstances when we believe in good faith that the law requires it. 

We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. 

 

How long do we retain information for? 

We hold your information only as long as necessary for each purpose we use it.   

Examples 

  • Under current HMRC rules we will need to retain your gift aid declarations and details of any gifts for six years after the date of your last gift to the charity 
  • Emergency contact information is only held for up to 28 days after the event has been completed then this information is removed from our systems. 
  • If you request that we stop sending you marketing materials we will keep a record of your contact details and appropriate information to enable us to comply with your request not to be contacted by us.  

 

Security 

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect in our daily operation, including online.

Our website contains links to other websites that may be of interest to you. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement. We will make it clear on webpages and documents when we are asking for your consent to hold your information. We will ensure always that you are as fully informed as possible at the time on what we do with your information, with whom it may be shared, how long we will keep it, also giving you an opportunity to opt out.  This is in line with the requirements of General Data Protection Regulations (GDPR).

You may choose to restrict the collection or use of your personal information in the following ways: 

whenever you are asked to fill in a form on the website, look for the box that you can click to indicate that you do not want the information to be used by anybody for direct marketing purposes

You may request details of personal information which we hold about you under the current Data Protection Act, and in time under the GDPR. A small fee may be payable.
